SUPERVISOR’S CHECKLIST

Before the first day

Send the new staff member a map advising them of when and who to meet on the first day and the location. Include a parking voucher for the first day and details about where to park.

Advise administrative staff of the new staff member's commencement date

Advise work team of the new staff member's name, role and commencement date

Designate a peer support and advise them of their responsibilities

Prepare a programme for the first week's activities including an appointment to meet with the School Manager or equivalent position. Depending on the nature of the position, this programme may include relevant training sessions.

Collect all System Access Forms ready for completion

On the first day

Meet and welcome the new staff member and take them through the proposed programme for the first few days.

Attend to HR forms including the Employment Declaration Form; Authorisation to Transfer Net Salary Form and commencement form.

Forward to HR or where possible, escort the new staff member to to HR to submit the forms and meet relevant HR staff.

Discuss Conditions of employment including leave entitlements, public holidays, salary information, Flexi time; Timesheets etc;

Academic tenure and promotion policies

or reclassification procedures.

Superannuation etc

Attend to Systems access forms e.g Email; connection to network.

Access to central systems

if necessary e.g ACS; PeopleSoft; Concept; Maximo etc.

Introduce the immediate work group

Draw the online University induction package to the staff member's attention and encourage them to access information.

Provide local induction package with specific information relating to the area or School.

Introduce the designated peer support and explain their role

In the first week

Explain the work group, its functions, structure, interaction of positions within the workgroup and priorities.

Discuss responsibilities and duties. Expectations. (For academics, discuss school policies relating to Teaching and Learning and Research)

Probation procedures hours of work etc.

Discuss secretarial/administrative support available to the new staff member.

Appointment with School Manager or equivalent position.

Overview of the School/Other areas e.g

  • Library

  • Structure

  • Strategic plan

  • Meetings and Committees

  • Latest annual report

  • Web site

  • Current issues

Attend to other specialist system access requirements as required. E.g COS, QSP, EIS. SRS

Ensure that the new staff member has a safety induction with the relevant Safety Officer.

Provide information on the University's Orientation Programmes and the courses advertised on the OSDS website.

In the first month

Discuss relevant policies and procedures (see online website for basic guide)

Provide a description of relevant committees

Provide dates of forthcoming meetings and last minutes.

Discuss performance development review and new staff member's role in this.

For staff in supervisory or leadership positions, discuss the University's expectations of their roles.

Make an appointment to meet with the staff member for 3 monthly probation review meeting.
