Getting connected at UWA

New Staff

Support is available to help a new staff member establish themselves into the University electronic community beyond the University regulations on software and computer use available from the Web. Much of the work involved here should have been done prior to an appointee arriving on campus.

Ensure you are recorded on the Human Resource System (Alesco- formerly Concept)

Check if you already have been registered for e-mail and phone

Go to Directory Services to check if you have already been registered in the directory.

  • Getting a Phone and Voicemail

    This is normally provided by your school secretary or administration officer. Information concerning UWA Telephone and Voicemail Facilities is available from Information Technology Services. .

  • Your mailbag number

    Each position will have a mailbag number which is used to deliver your mail. The secretary or administration officer will have this information or it is available from the Web

  • Getting an e-mail

    Most departments provide an e-mail facility for staff . You will need to contact your local IT support person.

    For those Faculties and Schools who do not have an e-mail system, staff may, with approval from their Faculty/School, request an e-mail address on the central server.

  • Getting an e-mail alias

    The normal e-mail address is of the form jname@server.uwa.edu.au. When a staff member’s contact details are entered into the Directory an alias of the form firstname.surname@uwa.edu.au is automatically created. If this alias already exists for a similarly named staff member, you will be contacted, via your normal email address, to establish an alternative.

    The e-mail alias is only available to University staff. An alias cannot be allocated unless a staff number is provided.

  • Registering on the University Directory

    When you have all your details:

    • staff number

    • full name, including title (Mr/Ms/Dr, etc.)

    • position and department name

    • phone (and fax) number

    • e-mail address

    • position and department name

    they can be registered in the University directory by emailing directory@uwa.edu.au.

Campus Card

The University uses a “smart card” for a number of functions (library, room and building access, photocopying). Instructions for getting a Campus Card are available from the Web.

Accessing Central Administrative Systems

Due to the devolved nature of the University the steps required to register to access the central administrative systems are at present complex.

To access any of the systems will require an account on the Administration Computer systems.

Note this page has links to the application forms for Human Resource ((Alesco- formerly Concept)), Financials (Peoplesoft) and Document Management (TRIM).

Pheme – Authentication Management System

You will need to activate your user account on Pheme if you wish to access the Central Administration network or applications it supports. To do this you must go to Pheme and follow the steps to activate your account.

If you work at the University and do not have a staff number (are not paid by HR) you will need to complete a Commencement of Non-university Staff form and present it and yourself with proof of ID to Human Resources.

E-mail lists

A number of e-mail lists exist that will enable you to keep in touch with various groups. These are listed at http://www.its.uwa.edu.au/staff/email/maillists

Security & Parking

Security and parking management is in Facilities Management.

Business Cards

Business cards are available via Uniprint

University Website

The University Website provides extensive information regarding the activities of UWA. As well as staff directories and job advertisements, it also provides student information, research information, and information about specific faculties and departments. Central services like computing and environmental management are covered, as is the University Library.

A significant and increasing portion of the University website is maintained using a Content Management System (CMS). A CMS allows the development and maintenance of large and complex websites by staff with no prior experience of website development. The MySource CMS was adopted by the University in February 2002 as a centrally available web publishing service.
